The Challenge

Hamptons South is a 250-unit luxury association in Aventura, Florida, managed by FirstService Residential. The community attracts buyers and renters from across the country and around the world — which made its existing paper application process a bottleneck.

Applications arrived weeks after they were sent. Checks had to be deposited and reconciled by hand. Out-of-state buyers struggled to coordinate document signing across time zones. Approvals routinely took two weeks or more, and the management office spent hours each week chasing missing information.

The board needed a single, modern platform — one that could collect applications, payments, and consents online, in compliance with Florida statute on transfer fees, and in a format their property manager and board could actually act on.

The Approach

We worked with FirstService Residential and the Hamptons South board to design a custom application portal built around the community's specific approval workflow. The portal included:

  • E-signature consent for all FCRA-required disclosures
  • Secure document upload for leases, purchase contracts, and rules acknowledgments
  • Online payment of screening and transfer fees in compliance with Florida statute
  • Centralized document storage accessible to both the management office and board members
  • Full background screening managed end to end by the Screening Link team

The Result

Approvals dropped from 2 weeks to 2 days.

A 250-unit oceanfront association now processes applications in roughly 85% less time than before — without adding any work to the management office. International applicants can apply from any time zone. Documents are stored securely and accessible to the board on demand.
